First we have a big meeting with everyone involved and we make a list of big tasks that need to be done in order to complete the project. Then we make one person responsible for each of the big tasks. Each of them will think about the best way to do their task and put all the details on a document or the project’s web page. They will also cut their task down into smaller pieces and assign them to different people if needed. Every week or every two weeks we all get together to see how we are progressing (if we are lucky someone will bring cake 🙂 ). We repeat all these stages as many times as needed, engineering projects usually take some experimenting so we keep adapting the plan as we go!
